The deadline problem in temporary employment agencies

Temporary employment agencies manage dozens, or even hundreds of deadlines every day. Expiring employee documents, client meetings, recruitment deadlines, payment dates, office visits — the list goes on. In the midst of these dates, it's easy to overlook something truly important, which can lead to legal and financial consequences.

That is why we are working on two new modules that will forever organise deadline management in your agency: the Calendar and Reminders.

A personal calendar for every user

The new Calendar module in LightApply is not an ordinary calendar. It is an intelligent time management centre that automatically collects all important dates from across the system and presents them in one clear view.

What will you find in the calendar?

The calendar automatically displays dates originating from various LightApply system modules:

• Employees — contract start and end dates, probation periods, employment anniversaries
• Applicants — recruitment interview dates, recruitment process deadlines
• Clients — meetings, order fulfilment dates, project review dates
• Immigration — visa deadlines, work permits, residence document validity
• Documents — insurance, certificate and medical examination expiry dates
• Fleet — technical inspection dates, insurance, lease payments

Automatic synchronisation

The greatest advantage of the calendar is that it works automatically. You don't need to manually enter every deadline — the system reads dates from individual modules and adds them to the calendar. Just add a document with an expiry date, and a reminder will appear in the calendar automatically.

Custom events

In addition to automatically generated deadlines, you can also create your own events not linked to any system module. A meeting with a contractor, internal training, planned leave — add them to the calendar and be sure they won't escape your attention.

Intelligent reminders

The Reminders module is a natural complement to the calendar. While the calendar shows dates in a monthly or weekly view, reminders actively inform you about upcoming deadlines — exactly when you need them.

Automatic reminders from the system

The LightApply system automatically generates reminders based on system data:

• Expiring employee and applicant documents
• Upcoming recruitment deadlines
• Payment and invoice dates
• Important client-related dates
• Company vehicle inspections and insurance
• Immigration process deadlines

Custom reminders

Need a reminder about something that isn't in the system? No problem. You can create your own reminders — both one-time and recurring. A reminder to call a client, a monthly report, a weekly team meeting — set a reminder and forget about the stress of keeping track of deadlines.

When will the modules be available?

The Calendar and Reminders modules are currently in intensive development. Our team is working on their integration with all LightApply system modules to ensure the widest possible coverage of deadlines and dates. We plan to release them in upcoming system updates.
